Job Description:
Accountable to the Human Resources Business Lead, the Human Resources Assistant works closely with the Managing Directors, Finance Department and the Director of Maintenance to complete all duties, as required. This position assists with the ongoing development of HR services and creates and maintains efficacy and efficiency for all related business responsibilities.
Role & Responsibilities:
• Assisting with day-to-day operations of the HR functions and duties
• Providing clerical and administrative support to Human Resources Business Lead, Managing Directors, Finance Department and Director of Maintenance
• Responsible for records management of employee files including HR files, hard and soft copy training files, employee benefits, employee requests for correspondence (letters for mortgages, Transport Canada Canadian Aviation Regulations (CARs) Exam letters, etc.), and pay scale progression data
• Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
• Coordinate HR projects (meetings, training, surveys etc) and take minutes
• Deal with employee requests regarding human resources issues, rules, and regulations
• Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)
• Communicate with public services when necessary
• Properly handle complaints and grievance procedures
• Assist with the creation and publication of job postings
• Coordinate communication with candidates, schedule interviews, lead the interviews and perform reference checks.
• Support the onboarding and offboarding process by coordinating with departments and internal announcements
• Other duties as assigned

Education Requirements :
• Post-secondary education in Human Resources or related field required.
Skills:
• Experience Required:
o Human Resources: 1 to 2 years
• Time management and punctuality
• Ability to prioritize and adapt as new tasks are received
• Must have working knowledge of computer software systems including Microsoft Office Suite
Qualifications:
• Be fully vaccinated against COVID-19
• Strong understanding of Human Resources policies and processes
• Strong communication skills, both written and verbal
• Familiarity with Canada Labour Code and Federal Labour Standards
• Accountable, accurate and diligent in work
• Strong time management skills, ability to organize, prioritize, and multitask

Working hours:
Working hours are mainly 8:00 am to 4:30 pm, Monday-Friday; extra hours may be required to complete project deadlines.
